How to Fix QuickBooks Scheduled Backup Not Working

What it means: QuickBooks scheduled backups fail silently or show an error. This is usually because the backup folder moved, permissions changed, or the backup path is no longer valid — not because the backup feature itself is broken.

Before you start: Run a manual backup first to confirm QuickBooks can create a backup at all. If manual backups also fail, the issue is file permissions or disk space.

Fix 1: Check the Backup Folder Still Exists

In QuickBooks, go to File → Back Up Company → Create Local Backup.

Look at the Backup Location path.

Open File Explorer and verify that folder actually exists.

If the folder was deleted, moved, or renamed, create a new folder and update the path here.

Fix 2: Verify Folder Permissions

Right-click the backup folder in File Explorer.

Make sure your Windows user has Full Control.

If backups run when you manually trigger them but scheduled backups fail, the Windows Task Scheduler service may not have permission.

Try setting the backup folder to a local drive like C:\QBBackups instead of a network location.

If the drive has less than 2GB free, move old backups elsewhere or free up space.

Scheduled backups run under the Windows Task Scheduler, which may use different credentials or run when the computer is locked or asleep. Manual backups run under your active user session.

Can I back up to a cloud drive like OneDrive or Dropbox?

You can, but it is risky. Cloud sync can lock the file while QuickBooks is trying to write it, causing corruption. Better to back up locally first, then copy the finished backup file to cloud storage.

How many backups should I keep?

Keep at least 10–20 recent backups. QuickBooks can auto-number them. Also store a monthly backup offsite or on an external drive. We have seen businesses lose months of data because they only had one backup and it was corrupted.
