QuickBooks Database Server Manager checks

Protect the company file

Back up your data before changing company-file components, services, firewall rules, or permissions. Never delete the .QBW company file as a troubleshooting step.

1. Confirm the manager is installed on the host

Database Server Manager belongs on the computer that physically stores the company files. It is included in the QuickBooks Desktop installer.

  1. On the host, search Windows for QuickBooks Database Server Manager.
  2. If it is absent, run the matching QuickBooks installer and choose the server-appropriate installation option.
  3. When hosting several QuickBooks versions, install the oldest version first and the newest last, following Intuit’s guidance.

2. Confirm the version-specific Windows service

The service name is QuickBooksDBXX. The number changes with the QuickBooks release.

  1. Open Windows Services and find the service matching the installed version.
  2. Set Startup type to Automatic.
  3. Start or restart the service.
  4. On the Recovery tab, configure the service to restart after failure if permitted by your organization’s policy.

3. Scan the exact company-file folder

Scanning creates or refreshes the information QuickBooks uses to locate the database server.

  1. Open Database Server Manager on the host.
  2. Choose Scan Folders and add only the folder that contains the company files.
  3. Run the scan and confirm the file appears.
  4. Test one workstation before making additional changes.

4. Verify access without over-permissioning

QuickBooks creates a QBDataServiceUserXX Windows account for each Database Server Manager version.

  1. Confirm that the matching account can access the company-file folder.
  2. Review both share and NTFS permissions if the file is accessed over a Windows share.
  3. Avoid blanket Full Control for Everyone; grant only the access required by the users and service accounts in this environment.
Managed or domain environment?

Coordinate changes with the organization’s administrator. Domain controllers and security-managed servers need environment-specific handling.

Verify the result

Test one workstation before bringing everyone back in.

  1. Open the company file from its normal network path.
  2. Switch to multi-user mode and sign in with a separate QuickBooks user.
  3. Close and reopen the file once to confirm the repair survives a fresh connection.
  4. Record what changed and keep a current backup.
